How to check your versions without the protel Google CKit

protel version: Front Office > Help > About protel

protel Web Services version: Please get back to your Support partner to find out about your pWS-version!

If you are not yet working with these versions, your sales representative will arrange all the necessary updates.

Accessing the protel Marketplace

The following steps are required to install Google Services using the protel Marketplace

Step 1: Log in

If you already have an account for the protel Marketplace, log in after accessing it via your protel PMS. If you do not have an account for the protel Marketplace, you can create one now.

Step 2: Check your hotel

Make sure that you have selected the correct property. You can see your property in the top right-hand corner, under the email address with which you are logged into the Marketplace.

If no hotel or the wrong one is selected, click the little arrow next to your email address and use the [Change Hotel] button to search for your property.

If you are not able to find your hotel, please contact your protel Support partner.

Step 3: Select Google App

Use the search function in the upper section to find the Google services for your property. The application you now need to select is the "Google Hotel Ads" application.

Step 4: Install Google Hotel Ads

Click on the “Get” button located on the Google App’s overview page:

Option 2: You're using the WBE 3 API

Via WBE 3 API, the programming interface, individually developed booking solutions can be connected to the protel hotel software. These are your options if you are using WBE 3 in your business in this manner:

If you are sure that a separate programming was executed with the API,

please contact your responsible protel support or account manager to talk about the possibilities of an alternative development .

If you are not sure that there is an API solution via the WBE 3,

please contact your responsible support to check if the WBE3 API is currently in use. As soon as this has been clarified, we’d be happy to advise you on your options.

Option 1: You’re working with WBE 3 "out of the box”

You can easily decide whether this option applies to you: 

Go to the booking page on your website and scroll to the bottom. If the site shows protel as the provider of the booking engine, then there is an active WBE 3 and the following options are available to you:

Switch to current protel WBE

Request an offer for the current version of the protel-WBE. Benefit from pricing adapted to a SaaS (Software as a service) solution and a free three-month trial period!

Deactivate the existing license

If you want to use your channel manager's WBE in the future, please instruct us to deactivate your license. In this case, be sure to specify a date for deactivating the WBE 3.

Rates

Google has its own system, which prioritizes, i.e. prefers, which rates are offered on their platform. At the moment this concerns the "most economic" prices. This means that the cheapest combinations of rate code and room type are always transmitted. Since the standard Google occupancy consists of two people, double or twin rooms are preferred. 

But also occupancies of more than two persons can be transferred.

All prices are shown in the detailed view of the Google hotel search.

Installation of WBE lite

The WBE lite is a booking engine developed specifically for use with protel Google Services. The WBE lite setup documentation will provide you with information about how to set up your WBE lite and how to customize it to suit your needs.
The WBE lite for Google is independent of any existing booking engines - so you don't need to worry about your existing booking engines. 

After you have set up your WBE lite completely, you have to set up a messenger rule that ensures that your guests receive a reservation confirmation. You can find all information about this in the setup documentation for the WBE lite.

Once a guest has found your hotel through Google Hotel Search, they select their preferred travel dates. On the WBE lite using Google Hotel Services, only the cheapest combination of rate and room type appears for the standard occupancy of two people. Once the guest has confirmed the booking in Google, they will be redirected to the WBE lite. Here they have the opportunity to select other rates and book packages including breakfast or dinner, for example.

How does the guest navigate to the WBE lite?

Switching Google Services to live mode

No further steps on your part will be required to go live with protel Google Services. Once you have set up your WBE lite, let our support know. Our team will then switch your WBE to live mode. This is the signal for the IDS to correctly transfer your rates to Google. Before your WBE can be activated, the IDS does not transmit any rates. This ensures that no rates arrive at Google before they can be properly sold through the WBE.

No rates will be sent by IDS if your WBE hasn't been turned to live yet. This ensures that no rates arrive at Google until they can be properly sold via WBE.

Working with protel Google Services

After the protel Google Services are up and running in live-mode, you won't have to do anything else. As long as your rates are marked as "Bookable online", they will be transferred to Google and can be booked by your guests.

How is the booking tracked?

When the guest accesses the hotel's WBE lite via Google, a cookie is left in the guest's browser. If the booking is then executed while the cookie is still active, Google receives a notification as soon as the booking gets the booking status "Confirmed". The booking status is also transferred from protel. If the status changes (e.g. the booking is cancelled, the guest does not show up, or data or room changes), Google will not be notified. The information about how many reservations have actually checked out is sent to Google via the monthly report.

How does the reservation end up in your PMS?

As soon as the guest has executed their reservation via the WBE lite, the reservation will appear in the protel PMS. You can recognize a reservation from Google by the confirmation number, which can be found right behind the reservation number in the header of the reservation. There is also the word "interfaces" in both the "Created" and "Changed" sections.

Payment

protel Google services are currently billed through a payment model based on the Google Hotel Ads Commission Program (GHACP). This model applies by default to all customers working with protel Google Services.
The calculation of the amount to be paid to Google is based on the number of reservations that have been checked out. No-shows and cancellations, as well as reservations that cannot be commissioned, are excluded from the calculation. This means that you only pay for the reservations that have brought you revenues.
protel and Google reserve the right to change the payment model at any time.

Payment period and payment rules

Payments for the previous month are collected on the first of the month. The payment is settled between protel and the hotel. The report listing the reservations and payments is drawn up on the first day of the month. You will then have the opportunity to check the report and to contact our support if there are any discrepancies. If there are no complaints from your side, the money will be debited on the first of the month.

Preparing your rates

To submit prices to Google, you need to update your rates to be bookable online. To do so, set the "Bookable online" checkmark in the protel Air system data for all prices you have prepared for sale on Google.

All information on how to prepare your rates, such as setting up rate details, images and additional attributes to be presented on your WBE lite can be found in the corresponding setup guide.

This is where you start after installation in SMP

protel IDS connect

With the installation of the Google Services the protel IDS is also installed. This system ensures that your prices from your protel Air PMS are securely transferred to Google. The protel Google Microservice, a service developed especially for this purpose, ensures an absolutely secure transfer.

Pay attention to enter a default occupancy of two, because this is the preferred occupancy shown by Google. Occupancies of one, three or four persons can be shown as well.

        An important note about IDS: please do not set up more than five to ten different rates for transmission to Google! More than ten prices would cause problems with the IDS.

The installation wizard now guides you through the installation step by step:
First you will get an overview of the required systems. To use Google Hotel Ads, you require protel PMS and protel IDS connect, which is automatically installed for you. Subsequently, you must confirm the price model, after which you will see the terms and conditions for protel and Google. After you have confirmed the terms and conditions, the next click installs the protel Google Services.

This completes the first step of the installation.

As soon as you have successfully completed the installation in the protel Marketplace, a confirmation email will be sent to you.

The next steps of the installation process are done in the protel Cloud Center. We now continue with the preparation of your prices!

How to check your versions using the protel Google CKit

With the new CKit you can check all required versions. To install the CKit, download the installer package and run it on your protel work station. If you have any problems, please contact your protel Support partner.

To check your installed versions, go to [protel Front Office > Add-Ons]. Search for "Google Hotel Ads - Protel Version Information".

Here you can see the system requirements for Google Hotel Ads, and by clicking on the relevant line you can view your version.

If you are missing one of the requirements or you do not have the correct version, please contact your protel support partner.

If you are using protel SPE/MPE, the following minimum versions are required:

Connecting with the protel Marketplace

Required user right: 910 – FO Access to Service Marketplace
Information on assigning and managing user rights can also be found in our protel 
SPE/MPE Online Help. You can do this yourself, with the appropriate admin rights. Otherwise, contact your protel Support partner.

Access to the protel Marketplace: Access the marketplace via the "SMP" button located in the top task bar of your protel Front Office. 

Attention: You can only successfully access the protel Marketplace and Google Hotel Ads if you use the minimum required version of protel Web Services.

Required user right: PMS_Admin
Please contact your hotel internal administrator or your protel support partner for this. Further information on protel Identity and Access Management (IAM) can be found in our 
protel Air Online Help.

Access to the protel Marketplace: Click on the "Marketplace" button in the top right-hand menu in your protel Air Dashboard.

Attention: Make sure you have the required user right assigned, otherwise your account in protel Marketplace will not be able to perform the installation!

Required user right: SMPRolle, or CustomerAdminRole
Information on assigning and managing user rights can also be found in our 
protel Air Online Help. You can do this yourself, with the appropriate admin rights. Otherwise, our Support is always happy to be of assistance.

Access to the protel Marketplace: Access the protel Marketplace via your hotel in the protel Cloud Center. Just click on the protel Marketplace button located in the upper left corner of your protel Cloud Center.

Attention: Make sure you have the required user right assigned, otherwise your account in protel Marketplace will not be able to perform the installation!

The button "GET!" is missing in protel Marketplace - what to do?

1. Did you select the correct hotel?
If yes, read on.
If no, please set the
correct hotel and try again.

2. You can see the button, but it says “Request Installation”:

This means you do not have the required user rights. Maybe your user in your protel PMS does not have the required rights. 

Please make sure that one of the following user rights is assigned: 

  • protel SPE/MPE: 910 – FO Front Office Access to Service Marketplace 
  • protel Air: PMS_Admin

If this does not fix your problem, please click the button and we will take over. Your protel Support will try to fix your problem and get back as soon as possible.

3. You can see the button, but it says “Missing required services”:

You can only see this button, if you are using protel SPE/MPE. This button indicates a missing micro service named “io.protel.onpremise”. This service should be installed by our Support. If you see this button, please contact your protel Support and explain your problem.
